What is a digital guest directory?

In Austria, accommodation providers are required to keep a guest register. This register records the information necessary for guest registration. This applies, for example, to hotels, guesthouses, and private room rentals. Such a register may also be kept electronically.

A digital guest sheet is a single entry for recording guests and their stay. With ibindo, the information is transferred directly into your digital workflow via a guest link. You don't need to transfer it from a handwritten form.

How does the guest registration process work?

1. Data collection: Send the link to the guest registration form along with your arrival information. Your guests can then fill in their details in advance.
2. Check upon arrival: Check the information provided and your actual whereabouts. A pre-filled form does not replace this check.
3. Complete entry: Complete the guest registration in your guest directory.
4. Consider departure time: Record the actual end of the stay in your directory.

What information should be included in the guest registration form?

The business service portal requests information including name, date of birth, gender, nationality, country of origin, and address, including postal code. For foreign guests, travel document details are also required. Confirmation of the information's accuracy is also part of the registration process. Special rules may apply in specific situations.

How long is guest data stored?

The business service portal generally stipulates a seven-year storage period for electronically processed guest register data. Longer storage is possible if required by other legal obligations; after this period, the data must be deleted. Furthermore, unauthorized access must be prevented.
